Privacy Policy

This Privacy Policy explains how we handle your information when you use Pepcount. By creating an account or otherwise using the service, you agree to the practices described below. Please read it together with our Terms of Service.

1. Who we are and scope

Pepcount (“Pepcount”, “we”, “us”, or “our”) is a business-management software-as-a-service (SaaS) application that helps product sellers run their day-to-day operations — managing products, stock, orders, customers, and finances from one place. This policy applies to the Pepcount web application and related services (together, the “Service”). It does not apply to any third-party websites or services that link to or integrate with Pepcount, which are governed by their own privacy policies.

2. Information we collect

We collect the following categories of information so we can provide and operate the Service.

(a) Account information

When you register, we collect your name, email address, and a password, which is handled securely on our behalf by Firebase Authentication (Google). When you choose to sign in with Google, we receive your Google account email address, name, and profile picture. We never see or store your Google password.

(b) Business data you enter

The Service stores the business records you create and upload, such as products, stock levels, orders, customer records, pricing, and financial figures. This content belongs to you and is used to operate the features you have signed up for.

(c) Your customers’ data

To run orders and customer records, you may enter information about your own customers, including their names, phone numbers, addresses, and email addresses. With respect to that information, you (the business operator) are the data controller, and Pepcount acts as a processor that stores and processes the data on your behalf and under your instructions. You are responsible for having a lawful basis to collect and store this information and for honouring your own customers’ privacy rights.

(d) Usage and technical data

Like most online services, we automatically collect limited technical information when you use Pepcount, such as your device type, browser, IP address, and activity logs, along with cookies and browser local storage used to keep you signed in and remember your preferences.

3. How we use your information

  • To provide, operate, and maintain the Service and its features.
  • To authenticate you and keep your account and data secure.
  • To respond to your requests and provide customer support.
  • To detect, prevent, and address fraud, abuse, and security issues.
  • To understand how the Service is used so we can fix problems and improve it.
  • To send you essential service communications (for example, account, security, or billing notices).

4. Google sign-in and use of Google user data

If you sign in with Google, we request only the basic profile and email scopes. We use the Google account information we receive (your email address, name, and profile picture) solely to create and authenticate your Pepcount account and to personalise your profile within the app.

We do not sell your Google user data, and we do not use it for advertising. Pepcount’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We only request the access we need, and we do not transfer this data to others except as necessary to provide or improve the sign-in feature, to comply with applicable law, or as part of a merger or acquisition, in each case consistent with that policy.

5. Third-party service providers

We rely on a small number of trusted providers to run the Service. These providers process data only as needed to perform services for us:

  • Google Firebase — authentication, database, file storage, and hosting that power the core of Pepcount.
  • Stripe — payment processing for paid subscription plans. Your card details are handled directly by Stripe; we do not store full card numbers on our own systems.

6. Cookies and local storage

We use cookies and browser local storage to keep you signed in during a session and to remember basic preferences. These are necessary for the Service to work properly. You can clear or block them through your browser settings, but some features may stop working if you do.

7. Data retention and deletion

We keep your information for as long as your account is active or as needed to provide the Service. We may retain certain records where required for legal, tax, accounting, or legitimate security reasons. You can request deletion of your account and associated data at any time by emailing support@pepcount.com. We will action verified requests within a reasonable period, subject to those retention obligations.

8. Security

We take reasonable measures to protect your information, including encryption of data in transit (HTTPS/TLS), authentication controls, and access restrictions on our systems. However, no method of transmission or storage is completely secure. We cannot guarantee absolute security, and you are responsible for keeping your login credentials confidential.

9. Your rights and choices

Depending on where you live, you may have the right to access, correct, delete, or export the personal information we hold about you. You can manage much of your information directly within the app, or exercise these rights by emailing support@pepcount.com. If you have asked us to process data about your own customers, we will help you respond to their requests where you are responsible for doing so.

10. Children

Pepcount is a business tool intended for adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us so we can remove it.

11. International data transfers

Pepcount and our service providers may store and process information in countries other than the one in which you live. By using the Service, you understand that your information may be transferred to and processed in those locations, which may have data-protection laws that differ from those in your country. We take steps to ensure your information remains protected wherever it is processed.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you within the Service. Your continued use of Pepcount after an update means you accept the revised policy.
